Privacy Policy
Gold Tally is run by Saruje LLC ("Saruje," "we," "us"). This policy explains what information Gold Tally handles, why, who helps us run it, and the choices you have. It covers the app at my.goldtally.app and the website at goldtally.app. Our Terms of Service also apply.
The short version
- Centers put their own student, parent and staff information into Gold Tally. That information belongs to the center, and we use it only to run Gold Tally for that center.
- We do not sell personal information, show ads, or use center data for marketing.
- When a center cancels or stays locked, we delete its data after 90 days.
1. Information centers put into Gold Tally
When a center uses Gold Tally, the center decides what to enter. This can include:
- Students: name, birthday, group, subjects, weekly schedule times, labels you create, and check-in and check-out times;
- Parents and guardians: names and relationship from your student export, a parent phone number, whether the parent agreed to texts, and who picked a student up;
- Staff-only notes: short alerts such as allergies or pickup restrictions, and session notes written by staff;
- Staff: names and clock-in and clock-out times;
- Center details: center name, phone, address, class hours, tuition note and phone scripts.
When you import a student file, Gold Tally reads only the columns it needs (names, birthdays, one parent phone number and, if you turn on Checked out by, guardian names). It does not keep addresses or email addresses from that file.
We handle this information on the center's behalf and follow the center's instructions. The center is responsible for having permission to share it with us. Parents and guardians with questions about a student's information should contact the center first. We will help the center respond.
2. Information about account users
- Login details: email address and password for owners and staff. Passwords are stored by our login provider in a protected (hashed) form. We cannot see them.
- Billing details: when an owner chooses a plan, our payment processor, Stripe, collects the card and billing details. We do not see or store full card numbers. We keep a record of the center's plan, its status and the Stripe customer reference.
- Messages to us: if you use the contact form on goldtally.app, we receive your name, email, center name and message by email.
3. Information collected automatically
- Sign-in storage: the app stores your sign-in session and a few settings (such as whether the kiosk is locked) in your browser so you stay signed in. These are needed for the app to work.
- Basic technical data: like most websites, our hosting provider and security tools process IP addresses, browser type and request logs to deliver pages, keep the service secure and count visits. We do not use advertising trackers.
- Fonts: goldtally.app loads fonts from Google Fonts, which means your browser contacts Google to download them.
4. How we use information
We use information only to:
- run Gold Tally for your center, including check-ins, reports, schedules, staff hours and pickup texts;
- manage accounts, trials, plans and payments;
- answer questions and give support;
- keep Gold Tally secure, fix problems and improve it;
- meet legal requirements.
We do not sell or rent personal information, and we do not use center data to advertise to anyone.
5. Who helps us run Gold Tally
We share information only with service providers that help us run Gold Tally, and only what they need to do their job:
- Supabase: database, logins and server functions (stores center data and account data);
- Cloudflare: website and app hosting, security and visit counts;
- Stripe: payments and billing;
- FormSubmit: delivers contact form messages to our email;
- A text message provider: when pickup texts are turned on, the parent's phone number and the message are sent to the provider to deliver the text. We will name this provider here before texts go live.
We may also share information if the law requires it, to protect people's safety, or as part of a sale or reorganization of Gold Tally. In a sale, this policy would continue to apply to information we already hold.
6. Children's information
Gold Tally is a tool for centers. It is not offered directly to children, and children do not create accounts. Students may type their name on a center's check-in kiosk, under the center's supervision, to find their own name. The kiosk shows only first names and last initials. Information about students is entered by the center, which is responsible for obtaining any parent or guardian permission the law or its own policies require. We use students' information only to provide Gold Tally to their center, never for advertising or profiling. A parent or guardian who believes we hold their child's information without permission can contact us at [email protected], and we will work with the center to review or delete it.
7. Text messages
Pickup texts go only to parent phone numbers that a center has marked as agreeing to texts. Parents can reply STOP at any time to stop receiving them. We do not use parent phone numbers for any other purpose and do not share them for marketing.
8. How long we keep information
- Center data: kept while the center's account is open. If the center cancels or stays locked, we keep it for 90 days so the center can return or download it, then delete it. An owner can ask us to delete it sooner.
- Deleted records: when staff delete a record in the app, it is removed for good within a few days.
- Billing records: kept as long as tax and accounting laws require.
- Contact form messages: kept in our email as long as needed to answer and follow up.
9. Security
Data is sent over encrypted connections (HTTPS) and stored with our database provider. Each center can see only its own records, and that rule is enforced by the database itself, not just the app. Only the center's owner can manage its plan, its join code and who has access. No system is perfectly secure. If we learn of a security incident that affects your center's information, we will tell the center owner without unreasonable delay and as the law requires.
10. Your choices and rights
- Owners and staff can view, correct and delete center records in the app, and download reports as CSV files.
- An owner can remove staff logins and make a new join code at any time.
- To ask for a copy of your information, a correction or deletion, email [email protected]. Requests about students or parents go through the center, and we will help.
- Depending on where you live, you may have other privacy rights. We will honor them as the law requires.
11. Where information is stored
Gold Tally is run from the United States, and information is stored in the United States.
12. Changes to this policy
We may update this policy. If a change is important, we will tell account owners by email or in the app before it takes effect. The date at the top shows when it was last updated.
